Welcome to OSHC Adventures!
We’ve answered some of the most common questions from families about enrolment, bookings, fees, and our programs.

  • Enrolling is simple! All registrations are managed online through the Xap Guardian Portal at www.xap.rocks.
    You’ll need to:

    Create a Guardian account via our website at the Enrol Now page.

    1. Add your details, your child’s details and emergency contacts.

    2. Submit your enrolment form to OSHC Adventures.

    Once approved, you can begin making bookings right away through the Xap Smile app or your Guardian Portal.

  • No — OSHC Adventures does not charge any sign-up or enrolment fees.

  • If you’re unable to make a booking, please check the following:

    • Your enrolment may not yet be approved.

    • Your account details (e.g., Centrelink CRN or child details) may be incomplete.

    • The session may be full or past the booking cut-off time (24 hours)

    • Please also check that you’re using the correct service when making a booking — you can switch services in the ‘Switch Service’ menu within the Xap Smile app or Guardian Portal.

  • We use Xap, a secure and easy-to-use childcare management system.
    You can access it through:

    • The Guardian Portal at www.xap.rocks for enrolments, billing, and account updates.

    • The Xap Smile app to manage bookings, manage your account, child’s enrolment, emergency contacts, and receive daily updates.

  • Each service uses a secure digital kiosk. Parents or approved contacts simply sign children in and out using their Mobile Number and a personal PIN via the Service Tablet.

  • How do I make or cancel a booking?

    Bookings can be made through the Xap Smile app or Guardian Portal.
    To cancel a session, simply select the session and click Cancel, or Absent (if within our cancellation window).

    What happens if I cancel my booking?

    • Cancellations made outside the 3 Day Cancellation Policy will not be charged.

    • Cancellations made within the 3 Day Cancellation policy period (absence) will still incur a session fee.

    Cancellation timeframes:

    • Cancellations made more than 3 days before the session: No charge will apply.

    • Cancellations made within 3 days of the session (including on the day): The full session fee will apply.

    • Holiday Care: Full session fee applies. Due to making prepayment of Excursion and Incursion activities and adhering to the correct Staff to Child Ratios, we do not accept any cancellations over School Holidays.

    • Medical cancellations: If your child cannot attend due to illness, please provide a medical certificate — to admin@oshcadventures.com.au so your session fee will be waived.

  • All OSHC Adventures fees are paid by direct deposit.
    Please use the following bank details when making payments:

    Please include your child’s name or family account reference in the payment description so we can correctly allocate your payment.

    Invoices are automatically sent out each week on Wednesday through the Xap system, keeping you up to date with your account balance and payments.

  • How do I get the Child Care Subsidy?

    All OSHC Adventures programs are approved for the Child Care Subsidy (CCS) through Services Australia.
    To receive CCS:

    1. Ensure you have a valid Centrelink CRN for both parent and child.

    2. Submit your OSHC Adventures enrolment through Xap.

    3. Log in to myGov to confirm your child’s enrolment.

    Once approved, your subsidy will automatically reduce your out-of-pocket fees.

    💡 Important: Please double-check that both Parent & Child’s date of birth (DOB) and CRNs are entered correctly in Xap. Any errors or mismatches can cause delays in the payment of your CCS subsidy.

  • What’s included in the sessions?

    All OSHC Adventures sessions include:

    • Play-based activities that encourage learning and fun.

    • Nutritious meals — breakfast in BSC and afternoon tea in ASC.

    • Engaging themed days and outdoor play in Holiday Care.

    • Qualified educators who are on-site, hands-on, and community-focused.

    We provide all equipment and materials — just bring a hat, water bottle, and your sense of adventure!

  • If your child hasn’t attended for 14 consecutive weeks, your CCS enrolment will automatically cease under Services Australia guidelines. You can simply re-confirm your enrolment in myGov if your child returns to care.
